Circulation Services Coordinator
JOB OBJECTIVES
To coordinate a variety of advanced
level paraprofessional duties in the Circulation Services
function of the library, including circulation, scheduling
rental facilities, volunteer service, customer service and
shelf maintenance activities.
SUPERVISION RECEIVED AND EXERCISED
Receive general supervision from the
Library Operations Coordinator. Exercise direct
supervision over clerical staff and volunteers.
POSITION ACCOUNTABILITIES: May include,
but are not limited to, the following:
Develop the circulation services work plan: schedule
work activities, projects and programs; monitor work flow;
review and evaluate work of staff. Conduct staff meetings;
delegate tasks to circulation personnel. Respond to
circulation related inquiries or problems form other
staff; respond to and resolve patron inquiries as related
to materials control. Resolve difficult problems with
library patrons regarding circulation, including problems
with lost, damaged or overdue materials and library fines.
Communicate with patrons, orally and in writing, about
fines assessed; explain library policies to patrons.
Disseminate circulation related information and changes to
all library sections and train staff accordingly.
Recommend policies and procedures to facilitate
circulation of materials. Prepare reports and compile
monthly statistics as needed. Participate in budget
preparation; prepare cost estimates for budget
recommendations; submit justifications for budget
requests; monitor and control expenditures. Participate in
the selection of staff; provide or coordinate staff
training; work with employees to correct deficiencies;
implement discipline procedures. Encourage participation
in the volunteer program by providing information to the
public; prepare flyers and brochures. Interact with
community organizations in recruitment of volunteers for
special large scale projects. Oversee and participate in
the development of the volunteer program work plan; assign
volunteer work assignments and projects; monitor work
flow; review work products, methods and procedures. Screen
and select volunteer applicants; provide or coordinate
volunteer training; ensure proper placement of volunteers;
develop and coordinate recognition activities for
volunteers Maintain current procedural manuals; update
when necessary. Schedule library facility reservations and
coordinate the exhibition of displays and exhibits. Attend
and participate in professional groups and committees.
Assist the Library Manager with special projects as
requested. Represent the Peoria Public Library at meetings
and conferences. Perform related duties as assigned.
CRITICAL SKILLS/EXPERTISE - needed to
complete position accountabilities:
Knowledge of:
Automate circulation systems and public service desk
operations and functions. Parameters, policies and
procedures of the automated circulation system.
Principles and practices of volunteer program
administration. Principles of recruitment, supervision,
training and performance evaluation. Terminal and micro
computer problem checklist and ability to analyze
malfunction. Library classification system. Basic report
preparation. Work performance standards.
Ability to:
Deal tactfully and courteously with
the public in answering questions, handling complaints
and resolving complex customer issues. Recognize
problems or potential problems regarding circulation
functions and inform the appropriate staff in
appropriate section. Plan, prioritize, assign, supervise
and evaluate the work of the staff involved in
circulation of library materials. Train staff in use of
automated circulation system. Communicate clearly and
concisely, both orally and in writing. Establish and
maintain cooperative-working relationships with those
contacted in the course of work. Provide assistance at a
public service desk.
Experience and Training:
Any combination of experience and
training that would likely provide the required knowledge
and abilities is qualifying. A typical way to obtain the
knowledge and abilities would be:
Experience:
Three years of technical and clerical
library experience performing circulation duties and
volunteer services.
Training:
Completion of the twelfth grade
supplemented by college level coursework in library
science, liberal arts, communications, human development
or a related field. A Bachelor’s degree in the areas
listed above is highly desirable.
ADDITIONAL REQUIREMENTS
Physical Requirements:
Exerting up to 20 pounds of force
occasionally, and the use of arm and/or leg controls
requires exertion of forces greater than that of
sedentary work.
Work Environment:
Position is typically office or
administrative work and is not substantially exposed to
adverse environmental conditions.
