Judicial Collections Assistant
GENERAL PURPOSE
Perform a variety of specialized clerical work in support of
the operations and services of the Municipal Court; collects
court imposed restitution, fines, fees, defaults and related
case processing as required.
SUPERVISION RECEIVED AND EXERCISED
Receive general supervision from the Judicial Assistants
Supervisor. Functional or technical supervision may be
provided by professional and management staff. Exercises no
supervision.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Performs public contact work at the counter and on the
phone which involves granting continuances or change of
court appearance dates, accepting fines, answering
questions, and providing information to defendants,
attorneys, police officers, and the general public
Responds to and resolves difficult and sensitive requests,
inquiries, and complaints; assists citizens in completing
required forms, collects appropriate fees
Monitors accounts to determine delinquencies and selects
accounts to be worked for collection
Collects delinquent payments from the public for fines,
bail/bond, in person, by mail, and by phone; checks payments
for accuracy, posts in computer and issues receipts;
balances daily receipts to monies received and prepares
summary sheets of posted accounts. Determines fine amounts
and set up payment schedules based upon standard procedures
Reviews court files on delinquent accounts and prepares
for warrant or suspension, inclusion in the Arizona debt
set-off program and possible credit reporting
Interprets, applies and explains Federal, State, City laws
and regulations as well as local policies and procedures
Performs a variety of computer data entry functions
including input of traffic citations and long form
complaints, reviews data and correct errors; updates
computer information to reflect changes in codes and fine
schedules
Monitors cases involving restitution, maintains accurate
record of restitution accounts and prepare payment to
victim(s)
Creates and maintains a wide variety of files; organizes
and maintains disc storage and filing
Maintains calendar activities for the court and Judge
Performs clerical duties for assigned staff, including
typing of correspondence, answering telephones, scheduling
of meetings, coordinating travel arrangement, and monitoring
of staff activities
Analyzes situations carefully and adopts effective courses
of action
Compiles and maintains complex and extensive records and
prepare reports
Communicates clearly and concisely, both orally and in
writing
Establishes and maintains effective working relationships
with those contacted in the course of work
Operates a variety of office equipment, including a
computer
Performs related duties as assigned
REQUIRED QUALIFICATIONS:
High school diploma/G.E.D. supplemented by specialized
clerical course work and two or more years experience in a
court environment, completing a variety of complex
assignments with increased responsibility; two or more years
experience using the AZTEC computer system. Knowledge of
financial requirements imposed by the Arizona Supreme Court,
including minimum accounting standards, surcharges imposed,
etc.
DESIRED QUALIFICATIONS
Demonstrated ability to perform math calculations such as
addition, subtraction, multiplication and division in all
units of measure using whole numbers and common fractions
decimals; analysis and judgment within a rapidly changing
work environment with appropriate accuracy and speed under
pressure of time-sensitive deadlines. Knowledge of English
usage, spelling, grammar, and punctuation; modern office
methods, procedures, and equipment, including a computer
terminal; record keeping procedures and practices; laws and
ordinances enforced by the State and City.

While performing the duties of this job, the employee is

by telephone; use hands to finger, handle, feel objects or
office equipment; and to reach with hands and arms and to
exert up to 10 pounds of force occasionally and/or
negligible amount of force frequently to move objects.
Specific vision abilities required by this job include close
vision, color vision, and the ability to adjust focus.
Mental Demands
While performing the duties of this class, the incumbent is
regularly required to use written and oral communication
skills; read and interpret data, information and documents;
analyze and solve complex problems; use math and
mathematical skills, perform detailed work under changing,
intensive deadlines, and apply constant attention to detail
and constant interruptions; and interact with officials and
the public.
