Accounting
Specialist
JOB
OBJECTIVES
Perform
responsible accounting clerical work involving financial
record keeping and financial transactions related to
accounts payable, receivable, and City programs.
DISTINGUISHING CHARACTERISTICS
This is the
entry/journey level in the Accounting Specialist series.
Incumbents of this class enter performing the more routine
accounting clerical duties under close supervision.
However, as experience is gained, incumbents are expected to
perform more complex duties with increasing independence.
SUPERVISION
RECEIVED AND EXERCISED
Receive
general supervision from Department supervisory and
management personnel. Exercise no supervision.
POSITION
ACCOUNTABILITIES: May include, but are not limited to, the
following:

Participate in the preparation of accounts payable and
receivable.

Process
purchase requisitions from computer listing daily; ensure
accuracy of information on requisitions

Obtain
appropriate signatures
-
Maintain
records of current requisitions.

Process
purchase orders
-
Verify
accuracy of information
-
Maintain
records of current orders
-
File
purchase orders.
-
Process
invoices
-
Pull
purchase order files
-
Verify
calculations and total billing
-
Update
information in the computer as necessary.
-
Process
warrants for accounts payable
-
Print,
verify information, and mail warrants
-
File a
copy of the warrant with the invoice and purchase order.
-
Open and
close accounts
-
Maintain
various ledgers, registers, and journals according to
established account classifications.

Research
and answer employee and Department questions regarding the
status of accounts and payments, the proper coding of
transactions, and other matters.
-
Perform
various routine clerical duties; such as, sorting and
distributing mail, typing, and filing. Perform related
duties, as assigned.
REQUIRED
QUALIFICATIONS
High school
diploma or G.E.D. equivalent; two (2) years of general
clerical experience; experience performing account clerical
duties.
DESIRED QUALIFICATIONS
Experience with procedures related to dog licensing.

Physical Demands

performing the duties of this class, employees are

The employee may regularly be required to walk or stand and
occasionally be required to lift up to 10 pounds. Specific
vision abilities required by this job include close vision,
distance vision, depth perception, color vision, and the
ability to adjust focus.
Mental Demands
While
performing the duties of this class, employees are regularly
required to use written and oral communication skills; read
and interpret data, information and documents; analyze and
solve complex problems; use math and mathematical reasoning;
perform work under changing, intensive deadlines on multiple
concurrent tasks; work with constant interruptions; and
interact with staff and vendors.
