Title: Senior Executive Assistant

 FLSA Status: Non-Exempt

BRIEF DESCRIPTION:

The purpose of this position is to perform a variety of technical, clerical, and complex administrative support duties for the City Manager’s Office and the Deputy City Manager’s Office; and to communicate sensitive information to appropriate elected officials and other parties.  This is accomplished by scheduling appointments for executive staff, performing complex administrative duties with confidentiality, and performing budgetary and financial support. Other duties include reviewing materials; conducting research; compiling, preparing, and distributing agenda information; referring visitors to appropriate department; preparing or planning special events and projects; answering questions; and providing information to the public.

Schedules appointments for executive staff by prioritizing requests for appointments, initiating and scheduling individual appointments on a regular basis, coordinating travel schedules, acting as liaison for internal and external customers, and coordinating with city-wide departments to prepare and/or obtain agendas, itineraries, and correspondence. This position also acts as a liaison to all city departments to include the Office of the Mayor and Council Members and internal and external customers.

Performs complex administrative duties with confidentiality by screening calls, visitor, and mail, responding to sensitive requests for information, facilitating resolution to citizen concerns, interpreting city policies and procedures, preparing a variety of confidential files, maintaining Council Policies and City Administrative Procedures and Manuals, regulation manuals, establishing and maintaining cooperative relationships with internal/external entities, supervising and evaluating the performance of assigned staff, preparing meeting agendas, and ordering and maintaining office supplies, and providing notary services.

Performs budgetary and financial support by assisting City Manager in budget preparation and review process, researching vendors for cost effective purchases, preparing and completing procurement card reconciliations, preparing and assembling travel logs for executive staff, reviewing and entering payroll data, and monitoring audit report, coordinating the preparation of purchase orders, developing recommendation for policy and procedures changes, assisting and coordinating a variety of special projects, and serving and participating on various committees.

JOB REQUIREMENTS:

-Description of Minimum Job Requirements-

Formal Education

Work requires knowledge necessary to understand basic operational, technical, or office processes.  Level of knowledge equivalent to four years of high school or equivalency.

Experience

Over three years up to and including five years experience.

Supervision

Work requires functioning as a lead worker performing essentially the same work as those directed, and includes overseeing work quality, training, instructing, and scheduling work.

Human Collaboration Skills

Work may require providing advice to others outside direct reporting relationships on specific problems or general policies.  Contacts may require the consideration of different points of view to reach agreement.  Elements of persuasion may be necessary to gain cooperation and acceptance of ideas.

Freedom to Act

The employee normally performs the job by following established standard operating procedures and/or policies. There is a choice of the appropriate procedure or policy to apply to duties.  Performance reviewed periodically.

Technical Skills

Basic: Work requires the use of standard technical skills appropriate to the work environment of the organization.

Budget Responsibility

Position has limited fiscal responsibility.  May assist in the collection of data in support of recommendations for departmental budget allocations.  May monitor division or program/project level budget and expenditures.

Reading

Intermediate - Ability to read papers, periodicals, journals, manuals, dictionaries, thesauruses, and encyclopedias. Ordinarily, such education is obtained in high school up to college. However, it may be obtained from experience and self-study.

Math

Intermediate - Ability to deal with system of real numbers; practical application of fractions, percentages, ratios/proportions and measurement. Ordinarily, such education is obtained in high school up to college. However, it may be obtained from experience and self-study.

Writing

Intermediate - Ability to write reports, prepare business letters, expositions, and summaries with proper format, punctuation, spelling, and grammar, using all parts of speech.  Ordinarily, such education is obtained in high school up to college. However, it may be obtained from experience and self-study.
