Records Assistant
FLSA Status: Non-Exempt
BRIEF DESCRIPTION:
The purpose of this position is to
manage all city records. This is accomplished by
identifying needs, retrieving, recording and destroying
records, creating logs and researching requested records.
Other duties include completing related administrative tasks
and providing clerical support.

Essential Functions |

Scans records by reviewing the
documents, identifying categories verifying information,
scanning the record, indexing, and retaining records. |

reviewing requests and documents, determining location,
reviewing records and providing the information to
customers. |

Retains records by entering
information regarding records and documents, filing
documents, coordinating deliveries and pickups,
notifying departments when documents arrive, checking

tasks by assisting customers with requests and

answering the phone and responding to questions, filing,
providing passport services, and maintaining reports. |

Formal Education |

processes. Level of knowledge equivalent to four years
of high school or equivalency. |

Experience |

experience. |

Work requires regular interaction

Freedom to Act |
The employee normally performs the
duty assignment after receiving general instructions as
to methods, procedures, and desired end results. There
is some opportunity for discretion when making

The assignment is usually reviewed upon completion. |

Basic: Work requires the use of
standard technical skills appropriate to the work
environment of the organization. |

Reading |
Intermediate - Ability to read
papers, periodicals, journals, manuals, dictionaries,
thesauruses, and encyclopedias. Ordinarily, such
education is obtained in high school up to college.
However, it may be obtained from experience and
self-study. |

Math |
Intermediate - Ability to deal with
system of real numbers; practical application of
fractions, percentages, ratios/proportions and
measurement. Ordinarily, such education is obtained in
high school up to college. However, it may be obtained

Basic – Ability to write simple
sentences containing subject, verb, and object, and/or
series of numbers, names, and addresses. Ordinarily,
