Title: Programs Assistant

 FLSA Status: Non-Exempt

BRIEF DESCRIPTION:

The purpose of this position is to provide complex analytical and technical administrative support to the department, provide leadership and direction for projects, and administer and coordinate database special projects.  This is accomplished by administering system databases, deploying systems, managing systems and testing upgrades, participating in implementations, researching information, providing staff direction, monitoring and reviewing budgets, conducting financial studies, developing estimates, and completing projects. Other duties may include assisting the department with updating websites, assisting with training, tracking information, and responding to inquiries.

Oversees projects by developing ideas for new and current programs, recommending projects and related actions, researching impact and funding, developing and presenting reports, reading and interpreting local, state and federal guidelines, and managing expenditures.

Manages data and reporting by developing databases and spreadsheets, retrieving information, preparing reports and presentations, developing processes, training staff, and retaining and/or distributing information.

Provides administrative support by identifying and tracking information, preparing reports, updating websites, assisting staff with purchasing information, responding to customer requests and inquiries, and developing new and updated processes.

Monitors budget activities by researching and obtaining data for budget development, assisting or developing goals and objectives, preparing estimates, tracking and reviewing expenditures, presenting proposals for approval, authorizing payments and monitoring expenditures for recommended adjustments.

JOB REQUIREMENTS:

-Description of Minimum Job Requirements-

Formal Education

Work requires knowledge of a specific vocational, administrative, or technical nature that may be obtained with six-months to one year of advanced study or training past the high school equivalency.  Community college, vocational, business, technical or correspondence schools are likely sources.  Appropriate certification may be awarded upon satisfactory completion of advanced study or training.

Experience

Over one year up to and including three years experience.

Supervision

Job has no responsibility for the direction or supervision of others.

Human Collaboration Skills

Work may require providing advice to others outside direct reporting relationships on specific problems or general policies.  Contacts may require the consideration of different points of view to reach agreement.  Elements of persuasion may be necessary to gain cooperation and acceptance of ideas.

Freedom to Act

The employee normally performs the job by following established standard operating procedures and/or policies.  There is a choice of the appropriate procedure or policy to apply to duties.  Performance reviewed periodically.

Technical Skills

Basic: Work requires the use of standard technical skills appropriate to the work environment of the organization.

Budget Responsibility

Position has limited fiscal responsibility.  May assist in the collection of data in support of   recommendations for departmental budget allocations.  May monitor division or program/project level budget and expenditures.

Reading

Intermediate - Ability to read papers, periodicals, journals, manuals, dictionaries, thesauruses, and encyclopedias. Ordinarily, such education is obtained in high school up to college. However, it may be obtained from experience and self-study.

Math

Intermediate - Ability to deal with system of real numbers; practical application of fractions, percentages, ratios/proportions and measurement. Ordinarily, such education is obtained in high school up to college. However, it may be obtained from experience and self-study.

Writing

Intermediate - Ability to write reports, prepare business letters, expositions, and summaries with proper format, punctuation, spelling, and grammar, using all parts of speech.  Ordinarily, such education is obtained in high school up to college. However, it may be obtained from experience and self-study.
