Title: Judicial Assistant Supervisor

 FLSA Status: Exempt

BRIEF DESCRIPTION:

The purpose of this position is to provide administrative and technical assistance in the development, administration, and implementation of procedures for the municipal court. This is accomplished by supervising staff, investigating inquiries and complaints, working with other agencies, preparing and maintaining records and reports, overseeing jury management operations, and ensuring compliance with guidelines and regulations.

Supervises court operations by scheduling and coordinating staff assignments, overseeing case initiation, front counter, public assistance, payments, records requests, case processing collections, scheduling of calendars, maintaining and ordering supplies, and mail processing, managing the jury selection and warrant processes, ensuring compliance with applicable laws, participating in special projects, and working with outside agencies on new programs and developments.

Provides financial management for the department by preparing financial reports, processing check requests, voiding transactions, supervising and preparing cashier drawers, reconciling drawers and credit card procurements, disbursing receipts, preparing monies for deposit, entering financials and verifying, entering and submitting department payroll.

Performs staff training and development by monitoring and evaluating staff performance, establishing goals, scheduling and monitoring training, preparing and conduct performance reviews, overseeing staff development, and coaching staff.

Assists with budget preparation and administration by preparing cost estimates, managing and maintaining filing systems, and retaining court files.

JOB REQUIREMENTS:

-Description of Minimum Job Requirements-

Formal Education

Work requires knowledge of a specific vocational, administrative, or technical nature that may be obtained with six-months to one year of advanced study or training past the high school equivalency.  Community college, vocational, business, technical or correspondence schools are likely sources.  Appropriate certification may be awarded upon satisfactory completion of advanced study or training.

Experience

Over three years up to and including five years experience.

Supervision

Work requires supervising and monitoring performance for a regular group of employees or division within a department including providing input on hiring/disciplinary actions and work objectives/ effectiveness, performance evaluations, and realigning work as needed.  A first line supervisor typically performs these functions.

Human Collaboration Skills

Work may require providing advice to others outside direct reporting relationships on specific problems or general policies.  Contacts may require the consideration of different points of view to reach agreement.  Elements of persuasion may be necessary to gain cooperation and acceptance of ideas.

Freedom to Act

The employee normally performs the job by following established standard operating procedures and/or policies.  There is a choice of the appropriate procedure or policy to apply to duties.  Performance reviewed periodically.

Technical Skills

Basic: Work requires the use of standard technical skills appropriate to the work environment of the organization.

Budget Responsibility

Position has moderate fiscal responsibility.  Makes recommendations toward fiscal decisions within the department. May be responsible for the billing, collection and/or accounting of funds.   May be responsible for the handling and balancing of cash.

Reading

Advanced - Ability to read literature, books, reviews, scientific or technical journals, abstracts, financial reports, and/or legal documents.  Ordinarily, such education is obtained in at the college level or above. However, it may be obtained from experience and self-study.

Math

Advanced - Ability to apply fundamental concepts of theories, work with advanced mathematical operations methods, and functions of real and complex variables.  Ordinarily, such education is obtained in at the college level or above. However, it may be obtained from experience and self-study.
