Title: Citizen Information Specialist

 FLSA Status: Non-Exempt

BRIEF DESCRIPTION:

The purpose of this position is to respond to customer service situations and requests for service.  This is accomplished by receiving queries, researching information, providing direction to departments or services, and retaining information.  Other duties include referring citizens to other sources.

 Essential Functions

Compiles information by reviewing packets, distributing information to citizens and employees, ordering office supplies, collating and arranging information, updating information, organizing newsletters, training volunteers, and arranging catering requests.

Completes purchases by creating requisitions and purchase orders, submitting documents and invoices for payment, and creating check requests.

Maintains periodicals and magazines by requesting information from sources, cataloging reading materials, and arranging displays.

Assists citizens by responding to requests and inquiries, providing information regarding city services, researching information, maintaining phone and website references, answering the phone, and directing callers and visitors to appropriate departments.

Maintains calendars by compiling and recording schedules, notifying employees of visitors, assisting departments with special tasks, and ordering and purchasing supplies for special events.

JOB REQUIREMENTS:

Formal Education

Work requires knowledge necessary to understand basic operational, technical, or office processes.  Level of knowledge equivalent to four years of high school or equivalency.

Experience

Under and including one year experience.

Supervision

Job has no responsibility for the direction or supervision of others.

Human Collaboration Skills

Work may require providing advice to others outside direct reporting relationships on specific problems or general policies.  Contacts may require the consideration of different points of view to reach agreement.  Elements of persuasion may be necessary to gain cooperation and acceptance of ideas.

Freedom to Act

The employee normally performs the duty assignment after receiving general instructions as to methods, procedures, and desired end results. There is some opportunity for discretion when making selections among a few, easily identifiable choices.  The assignment is usually reviewed upon completion.

Technical Skills

Basic: Work requires the use of standard technical skills appropriate to the work environment of the organization.

Budget Responsibility

Position has no fiscal responsibility.

Reading

Intermediate - Ability to read papers, periodicals, journals, manuals, dictionaries, thesauruses, and encyclopedias. Ordinarily, such education is obtained in high school up to college. However, it may be obtained from experience and self-study.

Math

Intermediate - Ability to deal with system of real numbers; practical application of fractions, percentages, ratios/proportions and measurement. Ordinarily, such education is obtained in high school up to college. However, it may be obtained from experience and self-study.

Writing

Intermediate - Ability to write reports, prepare business letters, expositions, and summaries with proper format, punctuation, spelling, and grammar, using all parts of speech.  Ordinarily, such education is obtained in high school up to college. However, it may be obtained from experience and self-study.
